The Australian Taiwanese Friendship Association (ATFA) is a prominent community organisation led by a dedicated, volunteer-based executive committee board consisting of 16 executive committees and 3 supervisory committees.
ATFA operates a thriving educational subsidiary, the Sydney Taiwanese School (STS), which delivers high-quality traditional character Mandarin language and cultural education across three major campuses (Northwest, North Shore, and Chatswood OCAC).
Supporting hundreds of students, parent members, and lifelong supporters, we foster multicultural engagement and language literacy in line with Australian government guidelines.
We are seeking an organised, compliant, and experienced Operations & Financial Manager to oversee day-to-day business processes, manage statutory compliance, and drive end-to-end accrual accounting operations for both entities.

THE ROLE
Reporting directly to the President, the ATFA Manager is the operational and financial core of the organisation.
This multifaceted position is responsible for executing full-cycle accrual accounting, processing student registrations, administering government grants, and supporting school management to ensure sustainable operations.
The successful candidate will also champion our corporate governance frameworks, ensuring that all activities strictly adhere to the Corporations Act 2001, Australian Accounting Standards, data privacy protocols, and the ATFA/STS Code of Conduct.

KEY RESPONSIBILITIES
1. Financial Accounting & Corporate Reporting
Accrual Bookkeeping
Manage full-cycle Accounts Payable and Receivable, general accounting requirements, and periodic corporate reporting.
Advanced Accrual Management
Implement rigorous accrual accounting processes to properly account for early expense payments and early tuition fee incomes.
Accountant & Audit Liaison
Liaise closely with our contracted external accountant for quarterly business activity statements (BAS reporting) and comprehensive year-end reports.
Statutory Compliance
Guarantee that all financial reporting is fully compliant with the Corporations Act 2001 and Australian Accounting Standards.
Budgeting & Advisory
Partner with the ATFA Executive Committee to prepare the annual organisational budget and supporting accounting materials.
Project Tracking
Utilise MYOB Job Codes to isolate independent accounts (such as the Taiwan Centre for Mandarin Learning - TCML) and provide regular project updates to the committee when requested.

2. Enrolment, Fee Tracking & Database Management (STS)
Enrolment Infrastructure
Create and manage the yearly student enrolment Google Forms to capture registration details.
Master Data Manifestation
Build and maintain the master student data files used for school tracking, classroom organisation, and payment enforcement.
Parent & School Liaison
Coordinate directly with parents regarding class enrolments and tuition payments, and work hand-in-hand with the school team to update the student classroom database.
Arrears Auditing
Enforce timely collections by identifying outstanding accounts and providing a formal list of unpaid students to the School Principal and the STS Vice President (VP) by Week 4 of each school term.

3. Government Subsidies, Grants & Vouchers
Subsidies & Funding
Proactively apply for applicable government subsidies and operational funding lines.
Grant Reporting
Prepare and submit all required compliance reports for various NSW grants received by the organisation.
Voucher Reimbursements
Process government refunds and manage the collection/acquittal of NSW service tokens (such as Creative Kids Vouchers) when available.

4. Operations, Governance & Workplace Culture
First Line Contact
Act as the primary, professional point of contact for external associate organisations, members, and general public enquiries via the central business line.
Workplace Safety & Conduct
Enforce compliance with the ATFA/STS Code of Conduct and Work Health and Safety (WHS) regulations. Maintain a zero-tolerance stance on workplace bullying, harassment, and discrimination.
Vetting & Security
Oversee access provisioning for school files, ensuring that all temporary or casual staff possess verified Working with Children Checks (WWCC) and signed confidentiality agreements.
Professional Standards
Maintain meticulous standard operating procedures and guarantee a transparent, documented handover process to a replacement upon eventual resignation.

KEY REQUIREMENTS & SELECTION CRITERIA
Accounting Credentials
Documented experience in bookkeeping or accounting utilising MYOB within a strict accrual accounting framework.
Compliance Knowledge
Sound understanding of the Corporations Act 2001, Australian Accounting Standards, modern payroll, and superannuation rules.
Systems Acumen
Demonstrated proficiency in configuring Google Forms, maintaining master databases, and extracting insights via spreadsheet data manifestation.
Interpersonal Skills
Highly developed written and verbal communication skills to interface confidently with corporate vendors, government portals, committee boards, and parents.
Language & Culture
Complete fluency in English is mandatory. Given our core demographic and institutional partnerships, proficiency in Mandarin and/or Taiwanese is highly advantageous.
Clearances
Must possess or be willing to obtain a valid NSW Working with Children Check (WWCC) and a clean National Police Check.
