Your website probably does a good job convincing a discharge planner you're a real agency. Accreditation badges, a tidy list of services, the right clinical terminology. That work matters.

But think about who's actually on your site when a private-pay inquiry comes in. Often it's an adult child, late at night, after a hard conversation with a sibling or a scary call from a parent's neighbor. They've never hired care before. They don't know what skilled versus non-skilled means, whether insurance covers any of it, or what they're supposed to ask when they call. Your service list doesn't answer the question they are desperately trying to answer, which is: what happens next if I pick up the phone?

So answer it. Build one page that walks them through the first 48 hours after they contact you. Who calls them back, and when. Who comes to the home for the assessment. What it costs, or at least how pricing works. What they need to decide right away and what can wait. Write it in plain language, the way you'd explain it to a friend.

Choosing the correct target audience and building your presence for them is one of the best ways to augment your private-pay inquiry rate.

Ask three of your caregivers to walk you through the same protocol and see whether you get the exact same answer three times.

Inconsistent training doesn't announce itself on day one. It shows up weeks later in complaints, survey findings, or a client who switches agencies. It usually traces back to one person who got handed the training role because they were good at the job but was never taught how to teach it.
