!!IT'S ALMOST TIME!!

We are looking forward to seeing everyone at the 2026 ASCP West Virginia Chapter Conference! Below are a few items and reminders for the event.

COOKOUT ON THE PATIO

This is an event sponsored by Werfen starting at 6pm Wednesday Evening (10/7) on the Patio. This is on the ground level below the conference area. The weather is looking absolutely perfect for this event so we hope you can join us. If you haven't signed up yet, please do so.

THURSDAY MORNING (10/8)

Our registration desk will be open starting at about 8 am on Thursday morning. Look for the ASCP West Virginia Chapter tablecloth. Here is where you will pick up your packet and name badge. You will need your name badge for the duration of the event as it helps get you into the buffet lunch and helps colleagues put a face with a name.

During the morning, there will be refreshments out in the Ballroom Foyer/Hallway. Restrooms are at the end of the hallway outside Ballroom I.

ROOM CHECKOUT (11 am)

For those staying at Stonewall Resort, room checkout is at 11am (unless you had it extended). It is recommended that you checkout before the sessions start so you don't have to rush to get this done...unless you are staying Thursday night (then by all means, ignore this).

SESSIONS

The presentations are being held within 1-hour time slots. We are planning for presentations to last about 45 minutes with time for questions and quick breaks in between. We ask that everyone help to ensure this process runs smoothly and return to the rooms as soon as possible before the presentations begin. If you do need to leave during a session, please respect the attention of those around you as you depart and return.

EVALUATION FORMS AND CERTIFICATES

We are still on paper so please make sure to print and sign your name on the roster and turn in your evaluation form so we can give your certificate for CMLE education credits.

STUDENT POSTERS!!!

We are VERY EXCITED to have students from the WVU Pathologists' Assistant Program with us this year! They will be displaying posters in the Ballroom Foyer/Hallway and presenting during the 1 PM hour. When you have a chance, please take a look and listen in and engage with these presenters as time allows. The future of our profession is looking bright!

VENDOR HALL

We want to wholeheartedly thank our vendors for sponsoring our event this year. We COULD NOT DO THIS without their support. The best time to visit them is during the lunch break between Noon and 2pm, though you may visit them anytime beforehand and a little after as needed.

RAFFLE

Per tradition, we like to put on a little raffle at the end of the conference. Those who turn in their vendor cards will have a chance to be drawn for the available raffle prizes. YOU MUST BE PRESENT to accept your award.

For those attendees who are current ASCP West Virginia Chapter Members only, we kindly invite you to join us and hear about the current state of the chapter and opportunities for growth. Chapter Members can also see and/or offer ways to help us meet our goal of promoting our profession in the region.

-Write-in candidates must be current ASCP West Virginia Chapter members
-Ballots are being accepted through 10/29/26 at 11:59 pm Eastern.
-Election results will be announced on 10/30/26

Thank you for your participation and think about how you may be able to volunteer in our Ambassador committee or in other ways. Also, start thinking about next year’s board elections and if you’d be interested. The positions up for election next year are President-Elect, Secretary, and Director. Hello ASCP West Virginia Chapter Members,

We are notifying you of the 2026 ASCP West Virginia Chapter Board of Directors Elections. This year, we have two positions for nomination: Treasurer and Director-Vendor Rep.

To qualify as a nominee, you must be a current voting member of the chapter. It is highly recommended that the Director-Vendor Rep position is also a current, active Vendor Representative in the industry. It is expected that those holding either position would be able to attend regular board meetings both virtually and in-person as scheduled. Please review the attached descriptions of each Leadership Role.

If you are interested, please send an email to the Nominating Committee at [email protected] BY END OF DAY (23:59 Eastern) 9/24/2026.

Per our Chapter ByLaws (Article VI, Section 2 C), The Nominating Committee shall solicit the Chapter membership for nominees, review the candidates’ qualifications, and select nominees to be placed on the ballot; prepare a ballot for all elected offices, and provide for at least one nominee for each open position. In addition, the Nominating Committee shall oversee the election procedure. Write-ins shall be allowed in any election. Ballots shall be distributed to each voting member at least thirty (30) days prior to the election.

Because the ballots have not been distributed to the membership yet, an election will be held sometime following the Annual Business Meeting on October 8, 2026 and at least 30 days after ballots have been distributed. This will push the official election to the end of October. We apologize for this delay as we typically hold the election at the Annual Business Meeting.

EXCITING PRE-EVENT (10/7) UPDATE!
We are excited to announce that Werfen will be hosting a Cookout on the Patio on 10/7 from 6pm - 9pm the evening before the event. Food will include hot dogs, hamburgers, and chicken breast on the grill with all the fixings. S'mores will also be offered alongside a Cash Bar with 2 drink tickets included with dinner.
