Assistant Administrator
The assistant administrator plays an integral part to the smooth functioning of Thomas House of Hope, providing a wide range of support to the Manager and staff. It is important that the person exercises discretion, a positive attitude, strong problem-solving, creativity and interpersonal skills. They must be able to work without ongoing supervision. The position entails working with sensitive and private information; therefore confidentiality is key.
Job Requirements:
-Minimum 3 years experience in an office environment, preferably a NPO office;
-Driving license (Code B);
-Strong organizational skills;
-Good communication skills;
-Ability to type, at speed, especially in transcribing;
-Strong computer skills (Microsoft products, Word, Publisher, Excel & PowerPoint);
Incl. Communication by email, make brochures and adverts, PowerPoint presentations etc;
-Ability to use Social media and other online tools;
-Proficiency in the operation of office equipment;
-Basic problem solving skills;
-Excellent command of English and Afrikaans in conversation and correspondence;
-The ability to manage volunteers;
-Access control
Job Description:
-Issuing to authorized persons keys to centre, maintenance of a “key box” and liaison with users of the complex regarding any problems encountered;
-Revision of insurance inventory annually and processing claims as needed;
-Administrative functions regarding maintenance of buildings;
-Access control to the facility;
-Maintenance of the Centre Database;
-Maintenance of the Donation Database;
-Coordination of tokens and token shop;
-Weekly shopping;
-Basic financial administration;
-Advertising and Communication regarding Noticeboards and social media
-Maintenance of all records and archival materials in good condition and order.
-Administrative support as needed for recruitment of volunteers, and the compilation and distribution of volunteers;
-Organizational support as required;
-Preparation of material required for programmes and events;
-Monitor of concerns and enquiries until they are resolved;
-Typing and general administrative support.
-Technical support including Video recording and send out of social media.
