Overview
We are seeking a highly organized and proactive Personal Assistant (PA) to support the Chief Growth Officer and three Regional Heads within our Distribution division. The ideal candidate will possess excellent administrative skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Administrative Support:
Maintain office supplies and manage ad-hoc administrative tasks as needed.
Prepare high-quality reports, presentations, and correspondence for internal and external stakeholders.
Handle confidential information with discretion and ensure sensitive documents are securely stored.
Screen and direct phone calls, emails, and other communications.
Task Prioritization:
Anticipate the needs of the executive and proactively address them.
Assist in prioritizing tasks and managing deadlines.
Event and Travel Planning:
Plan and coordinate travel itineraries, including flights, accommodation, and transport.
Organize internal and external events as required.
Assist with planning and executing events, including logistics and stakeholder engagement.
Track and monitor project timelines, deliverables, and outcomes to ensure alignment with objectives.
Collaborate with cross-functional teams to ensure the successful rollout of initiatives.
Coordinate and manage communication across teams, ensuring timely follow-ups on key actions and deliverables.
Support team meetings by scheduling, preparing agendas, and recording accurate minutes
Liaison Role:
Act as the primary point of contact between the CGO/Regional Heads and internal/external stakeholders.
Build and maintain strong professional relationships on behalf of the executive.
Qualifications and Experience:
3 – 5 years of experience as a Personal Assistant, preferably supporting multiple senior executives.
Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Proven ability to manage complex calendars and travel arrangements.
Experience in supporting events and preparing presentations.
