Good morning! Please keep an eye on your mailbox in the coming days for the most important mailing you will receive from the association all year. The first part of the mailing is your 2025 Annual Meeting notice for the meeting to be held on October 22nd, and it includes the IRS Resolution and explanation, Proxy, Board Interest form and Ratification form. Quorum is 25% (60 people or proxies) in order to call the meeting to order and hold the election of Members to serve on your Board of Directors. Even if you plan to attend the Annual Meeting, we ask that you send in your Proxy (signed by all owners of record on the deed) or give it to a neighbor you know will be in attendance so that we may achieve quorum.
As you know, the association has been trying to amend the governing documents for a few years now. We have included the Ratification form, which must be signed by all Owners listed on the deed. The original signed form must be returned to the association office or dropped off at a Board Member's residence. Faxed or emailed copies are not valid since this is a document that will be recorded with the City of Suffolk.
Again, this is the most important meeting of the year. We hope you will be in attendance to vote for your representatives and to share your ideas and concerns for the Suffolk Meadows community.
The second part of the mailing is the 2026 Approved Budget. Your Board of Directors worked diligently to keep the necessary increase to a minimum. The assessment will be $90.00 per quarter beginning on January 1, 2026. If you have automatic payments set up, or pay with a bill pay service through your bank, you will need to increase your amount to reflect the new assessment amount.
