The meeting scheduled on Monday December 4th is canceled and will be rescheduled. The board is working to find another date that will work for the first or second week of January. Hello All,

We hope everyone’s summer has been going well. We also want to wish everyone a happy 4th of July and we hope you all enjoy fun picnics, family time, etc. With that being said it has been brought to the board's attention that there are potential laws against the use of fireworks in private neighborhoods. While the HOA has no jurisdiction over your use of fireworks on private property, we do ask that no community member or guest use the common areas for the use of fireworks. This season has been very dry and we do not want to run the risk of a fire starting. Also, do realize that some of your neighbors may be sensitive to the sounds of fireworks and it could trigger PTSD attacks. All in all we want everyone to enjoy their time this holiday week responsibly. If there are any complaints regarding fireworks, the PA state police would be the best resource.

We hope everyone’s summer has been going well. Dear Resident,

This notice is being sent to all members of our community.

Our neighbors over at Deerfield Commons (the apartment complex located at the front of our development) have reported that they are again seeing an increase in the number of people using their pool who are not residents of their community. In particular, they have noticed large groups of 10-15 people at a time walking over from our development.

As a reminder, this is not our pool and we are not permitted to use it. We are similarly not permitted to use the clubhouse, business center, fitness center, playground, or any other facility located in or on their properties. Deerfield Commons is in no way affiliated with our Deerfield residential community nor the Deerfield Homeowners Association.

In the past, Deerfield Commons management has been content to work with us directly to try and discourage our residents from using their facilities uninvited. Given the substantial number of unauthorized individuals now using their facilities, they are considering involving the police to remove trespassers from the property.

We do not know, nor are we interested in finding out, who has been engaging in this activity. Anyone doing so will be subject to enforcement by Deerfield Commons and local law enforcement. We ask that if you are one of those using the pool that you please heed this warning and stop immediately.

All, Below is the Zoom Meeting information for tomorrow's Special Board meeting. Please let me know if you have any questions prior to the meeting so that I can address them asap. Also, please make sure to have all votes brought to the meeting, filled out prior to the start of the meeting and handed in and or mailed to Deerfield HOA, PO BOX 601, Shippensburg, PA 17257. Please note that the meeting will be recorded so that we can have records of the meeting and what is discussed going forward. This is new to me and I do not know how I will be able to share the recording until after it is recorded. I will try and find a way to post the meeting on our website but that will take some time. In the interim I will ask the newly elected board secretary (who ever that will be) to take notes and provide them via email to this chain and via the page as we did after the last meeting. As you all know we have scrapped the proposed rules that where put out at the last meeting and the new board will have a chance to discuss if they want to bring up any new rules and or drop old rule prior to the next week where we will have a vote on said rules. I would like to open up the floor after all business has been taken care of in terms of votes and the board members deciding on what positions will be held by who. This will give residents a chance to voice any concerns, comments, etc. to the board which we can then take back and answer as fast as possible. Please note that if you are not planning to attend in person you will need to give your votes to a neighbor or have had them mailed and able to be picked up prior to 5pm tomorrow. I plan on going to the post office after work tomorrow to pick up all additional mail prior to the meeting. If you would like you can drop off votes in my mail box in front of my house at 517 Cambridge lane no later then 8am tomorrow morning as I will be leaving for work at that time. Thank you all for your patience and I look forward to our meeting tomorrow. Lastly, I believe Mary from the management company is going to try and make the meeting tomorrow if her schedule permits and this will be a great time for everyone to meet her in person and ask any questions that they may have. Please note we ask everyone to be respectful. I do understand that there have been some challenges over the past few months and this meeting is a place to be able to address your concern but please do this in a professional and neighborly way. If you have not seen Tom has put in his resignation as of late last night. We are looking members of the community to volunteer to fill the 3 board positions at this time. Please let me know who all may be interested. Per our bylaws we will hold a special meeting to vote in up to 5 board members and then the members will vote who will do what position. Also, per our bylaws we need to give a 30 days notice to all members of the community for this meeting. I am currently working on figuring out when the township building will be available for us to meet. If possible I would like to hold the meeting prior to the 30 days if possible and if there is no community issue with holding the meeting sooner. I will put this message in the email chain that is going around and if there are members of the community that would like to be added to this email chain please let me know. Once I can secure a date with the township I will send out the notices as fast as possible.

Hello everyone. I just saw that Schneider Electric has a recall on panel boxes. The recall started in 2020 and goes to 2022 so far. Please see the link below on what to do if your home has one of the effected boxes. I have one of the boxes in my home so I assume there are others in the neighborhood.

Deerfield HOA Meeting Notes
Meeting Notes:
• Nick stepped down from the HOA Board and his resignation has been accepted.
• The board is looking for new members to fill the treasurers and VP spot. The board is willing to shuffle position if members of the community would like to join as a different
position.
• We as a board came up with a list of items to add to the covenance.
• All homeowners will receive a copy and all changes will be in red.
• All changes have to go through a thirty day wait period from 06/07/22 to 07/07/22.
• Tom asked homeowners to look through documents to get feedback. The HOA asked that any changes that homeowners would like to make the board would like to have within 15 days so that changes can be updated and dispersed prior to the start date of the changes.
• It was explained that homeowners would need 20 signatures for individual homes to make and changes to the rules and regulations.
• Tom stated that he would not go over every change in detail but would outline some of the more pressing topics that homeowners have asked him about.
• Homeowner wants a note added to 7.1.4.1. The addition should be “per township ordinance”.
• Homeowner disagrees with garage sale change.
• Explained the board would like to utilize facebook more in the future for better communication.
• Tom reviewed 7.1.5.1 “mailboxes”. Tom stated that individual delivery would stop and cluster boxes would be used once installed. Homeowners will have 30 days of notice from the postal service before service at individual boxes would stop.
• Homeowner brought up how would we take care of outgoing mail. Tom stated we would follow up and ask what the best solution would be.
• Tom wants to check into township ordinance on parking on the streets and parties.
• Homeowners stated that we should look into putting no trespassing signs on the hill on Jerico Lane.
• Homeowner asked if we could get a map of the community. Tom stated that he would try to get one from Chris.
• Homeowners suggested meeting information be posted to facebook and the website.
• Homeowner asked if the lamps have been taken care of.
• 4 lights are out and one globe is broke.
• Tom stated that we went with Susquehanna Property Management.
• We agreed to quarterly walk throughs.
• Homeowner stated his concerns about lights not being fixed for over 4 months.
• Homeowner stated light at Deerfield commons had line cut because it was on Deerfield commons electric bill.
• Homeowner asked why some lights on jerico work and some don’t. The issue is lights are with 2 different power companies and Adams electric is dragging the ball.
• We need to have a meeting with S&A to come up with a better plan on how what the process is for transitioning the lights over to the HOA.
• Homeowner asked about updating the street lights to the new style.
• Tom stated he is waiting on a phone call from the township about who is responsible for the storm drains.
• We need information about storm drains and cluster boxes in writing.
• Tom will ask S&A to put up shelter over mailbox cluster.
• HOA may be responsible for shelter over cluster boxes.
• Will these cluster boxes be handicap accessible? Tom will ask.
• We need a better turnover procedure from S&A for all things.
• Homeowner asked that sidewalks not be blocked during parties.
• Can we get stop signs or speed bumps?
Financial and more notes:
• General fund Balance is $26,055.45
• Townhome Balance is $17,893.79
• Reserve fund Balance is $25,669.59

• Tom stated we talked about an audit.
• Audit companies stated $15-$20K to preform an audit.
• Nothing in HOA documents for an audit. Tom to look at state law.
• There is not enough in the budget to do an audit.
• Tom to reach out to his acquaintance for suggestions on who could do the audit cheaper.
• Need trees trimmed by Route 11 so mowers can be ran appropriately.
• Homeowner asked for a monthly statement of the HOA financials (what is coming in and what is going out). Tom will post to website.
• Homeowner asked how often we have meetings with S&A and Tom stated we don’t have a set schedule.
• Homeowner asked what the individual HOA fee will be? Tom stated we will have to adjust if needed.

Hello all. Sorry for the delay in getting this information out but the Fall community yard sale is scheduled for Sept 18th from 7am-2pm with a rain date of September 25th. It will be held in conjunction with Deerfield Commons again just like the Spring one. Signs will be posted this week and we will be sharing this on social media.
