WESLEY TRINITY DAILY BREAD LUNCH PROGRAM
JOB DESCRIPTION FOR THE POSITION OF OPERATIONS COORDINATOR

This is a part-time 30 hour/week position paid at an hourly rate of $17/hour. The purpose of the position is to conduct the daily operations of the six day per week daily bread lunch program (DBLP).

Responsibilities include but are not limited to the following:

∙Ordering and maintaining an appropriate level of supplies that support the functions of the DBLP, i.e., paper goods, cleaning supplies, shelf stable and perishable food items to name a few.

∙This position requires resourcefulness, dependability, and responsibility for there are many volunteers relying on having the supplies and food they need to put together and serve a meal.

∙A weekly meeting between operations coordinator and executive director (ED) will take place as best suits one another’s schedules – this meeting will insure an open line of communication between the operations coordinator and ED.

∙The operations coordinator will collaborate closely with the volunteer coordinator, Wesley nurse, and DBLP volunteers.

∙The operations coordinator will attend bi-monthly meetings of the DBLP Board of Directors (BOD), providing a report outlining the activities of the position and presenting any known needs of the DBLP to the BOD.

∙The operations coordinator will exercise prudence when making purchases – any purchase exceeding $500 must have approval from the Chairman of the Board or from the full BOD.

∙Submit receipts and all invoices due to the ED on a weekly basis.

∙The operations coordinator assures all volunteers are aware of health guidelines and regulations.

∙The operations coordinator will endeavor to continuously learn about food service safety, additionally, there will be food handling classes to complete upon being hired.

∙The operations coordinator will visit the Concho Valley Regional Food Bank on Monday, Wednesday, and Friday of each week. In addition, the operations coordinator will do the necessary grocery shopping for the various volunteer teams who have requested certain items be available.

∙The operations coordinator will check walk-in cooler daily and discard leftovers as needed.

∙If volunteers are not available for the Sunday pick-up from Market Street the operations coordinator will make the pick-up and deliver the items to the soup kitchen.

∙The operations coordinator works with and oversees the efforts of the daily cleaning crew.

∙The operations coordinator will pick up donations from Chicken Express, Mrs. Baird’s, and Chick-Fil-A as necessary. The Chick-Fil-A pick up requires a weekly log on and sign-off at harvestelog.com.
∙This position will manage all needs of the van to include oil change maintenance, registration, and insurance renewal (working in conjunction with WTUMC Trustee).

∙Work with the volunteer team leaders to select items from pantry, freezers and refrigerator as needed for each team’s chosen meal. In addition, the operations coordinator will do the necessary grocery shopping for the various volunteer teams who have requested certain items be available.

∙Assist ED with thawing of food as requested by team leaders.

∙The operations coordinator will be responsible for pick-up of pallet water.

It’s with a heavy heart the Daily Bread Soup Kitchen announces the passing of our leader, director, friend, and mentor, Pam Burke on April 27, 2022. Please lift her family, friends, and church family in prayer as they adjust to a life without Pam. A memorial service will be held at a later date.

ASSISTANT EXECUTIVE DIRECTOR
● Responsible for the management of administrative and operational duties of Wesley Trinity Daily Bread Lunch Program.
• Responsible for the correspondence to donors confirming receipt of donations and confirming our 501c status. All responses to be made within 72 business hours. Maintain a copy of all confirmation letters
• Responsible for the monthly reports to the Food Bank, RSVP and Concho Valley CSCC and the Seniors Program
• Manager’s procurement of contractors or repair persons for the repair or maintenance of the equipment and facility
• Monitors and review the performance of the cleaning crew
• Meets quarterly with the cleaning crew management to discuss performance and any needed changes
• Orders and maintains appropriate level of supplies that support the functions of the organization
2) Management and team responsibility.
• Achieves goals by being resourceful, reliable and follows through on commitments
• Responds appropriately to requests, follows through on inquiries/complaints to ensure situations are addressed in a timely and appropriate manner
• Manages and creates change as appropriate to meet program objectives. Empowers others to participate in decision making

• Acts with appropriate sense of urgency to achieve results
• Acts with an understanding that every rung we do is in support of our clients and will exhibit an enthusiastic, positive, and empathic attitude
• Holds quarterly lead volunteer meetings to assure we are all operating under the same guidelines. Provides training, gather and gathers input
• Meets weekly the manager to maintain communication and to provide updates on the organization and the status of any outstanding requests or projects
• Works and collaborates with the Volunteer Coordinator. Nurse. Counselors and Volunteers
• Attends Board meetings, providing a director’s reports outlining the activities of the organization and makes recommendations on future activities. Attends Health Committee Meetings
• Demonstrates good judgment when to inform the Chairman of problems or issues. Does not put the Chairman in a situation of lack of knowledge or surprise.
3) Makes sound business decisions on key financial component of the organization in order to achieve superior results and maximize the goals of the Wesley Trinity Daily Bread Lunch program
• Works with Financial Secretary to ensure up-to-dare and accurate financial records and reports
• Responsible for all deposits and maintains records of each
• Submits all bills to the Financial Secretary for payment in a timely manner
• Monitors and reviews all submitted receipts and challenges as needed
• Monitors the spending and purchasing of the Food Procurement Manger and assure the facility is stocked appropriately and in the most cost-effective manner
• Researches and reviews the most cost-effective vendors and purchasers
• Have spending authority up to $500, any amount above must have approval of the Chairman of the Board or the Board of Directors
• Assures expenditures are necessary and within guidelines
4) Responsible for strong communications and marketing of Wesley Trinity Daily Bread lunch program.
• Demonstrates a commitment to continuous communication as a core management value as well as a proficiency in written and verbal skills
• Ability to communicate effectively at all levels of internal and external audiences. Maintains high ethical standard both personally and professionally
• Challenges others to communicate with empathy and demonstrate customer focus passion.
• Demonstrates a passion and dedication to anticipating and meeting the expectations and requirements of the Board and clients, making every experience with WTDBLP a positive experience
• Be a positive Role Model and Ambassador for WIDBLP
• Ensures all WTBLP Marketing Materials are maintained and up to date featuring WTDBLP in the most favorable light
• Works with community organization. to develop an understanding and partnership that compliments at1d supports each organization
• Works with the vender to develop and maintain a website for WTDBLP
5) Leads a consistent, compliant organization with flexibility based on need
• Monitors and maintains the compliance regulations and guidelines of the City of San Angelo Health department and Food Bank
• Maintains kitchen and pantry that conforms to health department standards and passes all Health department and Food Bank inspections
• Provides policy and procedure training to all team members and volunteers. Also provides daily guidance.
• Assures all volunteers are aware of Health Guidelines and regulations
• Takes accountability for continuous learning relating to Food Service Safety and the management programs for volunteer organizations
