Assess Membership & Plan Retention
June 8 – 14, 2026

You've made a strong start in Week 1 by forming your recruitment team and setting clear goals. Now it's time to turn your focus inward. Week 2 emphasizes strengthening what you already have by auditing your current membership, improving retention, and preparing for smooth Arrow of Light transitions.

Welcome to Week 2 of the 2026 Longhorn Council Summer Recruitment Planning Series. The strongest units don't focus solely on attracting new Scouts—they also work intentionally to keep the families they have and ensure seamless advancement from Cub Scouts to Scouts BSA. A thoughtful review this week will prevent future surprises and position your unit for sustainable growth.

What to Do This Week (June 8–14)
1. Audit Your Current Roster
Pull the latest membership report from Scoutbook or My.Scouting.org. Carefully examine:

Active youth and adult members by den or patrol
Dues status, registration renewals, and any lapsed members
Attendance patterns over the past 6–12 months
Youth-to-adult ratios and den balance
This clear picture will show how your unit measures up against the goals you set in Week 1.

2. Identify Leadership Gaps
Review your current leadership structure and note any shortfalls:

Den Leaders and Assistant Den Leaders for every den
Key committee roles (Treasurer, Advancement Chair, Secretary, etc.)
Trained versus untrained leaders
Potential vacancies due to moves, job changes, or parents stepping down
Create a simple "Leadership Needs" list so you can begin recruiting volunteers well before the fall rush.

3. Re-Engage Families Who Have Left
Identify any families that dropped from your unit in the past 12 months. Reach out personally through a phone call, friendly text, or handwritten note. Ask genuine questions about their experience and what might bring them back. Many families return once they feel truly heard.

4. Coordinate Crossover Plans with Linked Units
Connect early with your partner packs or troops:

Packs: Schedule Arrow of Light crossover ceremonies, bridging events, and joint activities with feeder troops.
Troops: Work with your linked packs to welcome incoming Webelos and Arrow of Light Scouts.
Set tentative dates and begin planning shared experiences while summer schedules are still flexible.

Tips for Success
Send a quick personal message or email to every current family highlighting an upcoming summer activity. A simple note about a bike ride, fishing trip, or family outing can rebuild excitement.
Use feedback from current families in your future recruiting materials by asking what first drew them to Scouting and what they value most.
Prepare a clean, one-page "Unit At-a-Glance" sheet with meeting times, costs, and key highlights. This becomes an invaluable tool when speaking with prospective families.
Focus on building relationships before the bridging ceremony through joint troop visits or campouts.
By the End of June 14, You Should Have:
✅ A thorough membership audit
✅ A prioritized list of leadership needs
✅ A personalized plan to welcome back former families
✅ Clear next steps for strong, well-coordinated crossovers

This internal work is just as important as bringing in new members. A healthy unit retains families and creates natural momentum for growth.

Strong units know that growth is not just about bringing in new Scouts, it is about keeping the families who are already part of the adventure. This week, take a closer look at your unit’s membership and focus on what helps Scouts and families stay engaged, connected, and excited to continue their journey.

Follow along all summer, complete each step, and your unit will be fully prepared to welcome new families this fall with confidence.

Longhorn Council Summer Recruitment Series: Week 1
Form Recruitment Team & Set Goals
June 1 – 7, 2026
Summer break is officially underway, and for Longhorn Council units, this is the perfect window to lay a rock-solid foundation for fall recruiting. Starting early gives you time to plan thoughtfully instead of rushing in late August when everyone is back-to-school busy. A well-organized recruitment effort does not just bring in new Scouts—it builds excitement, strengthens your unit culture, and helps retain families for years to come.

Welcome to Week 1 of our 2026 Longhorn Council Summer Recruitment Planning Series. This week focuses on the two most important building blocks: assembling the right people and setting clear, data-driven goals. By the end of these seven days, your unit will have a dedicated recruitment leadership team and a realistic target that everyone can rally behind.

What to Do This Week (June 1–7)
1. Form your recruitment team

Hold a 45–60 minute unit committee meeting focused solely on recruitment. Appoint a Membership Chair and 1–2 New Member Coordinators.

Membership Chair oversees strategy, tracking, and reporting.
New Member Coordinators manage Join Nights and follow-up communication.
Assign roles and deadlines before the meeting ends so everyone leaves with ownership.
2. Review data and set goals

Use last year’s membership data (My.Scouting.org or Scoutbook) to build a realistic target.

Arrow of Light crossovers into Scouts BSA
Attrition and retention trends
Current youth by den or patrol
Upcoming age-outs
Example: If you lost 8 Scouts and gained 12 crossovers, a net goal of +10 new Cub Scouts may be appropriate.

3. Engage your chartered organization

Meet briefly with your chartered organization representative to align on recruitment support.

Promote Join Nights in newsletters or announcements
Provide facilities, tables, or volunteers
Define communication expectations moving forward
Tips for a Strong Start
Make goals SMART: Example: Recruit 15 new Cub Scouts across 3 Join Nights by Sept. 30, 2026.
Base targets on real data: Use crossovers, attrition, and growth goals for accuracy.
Choose the right team: Select organized, people-friendly volunteers.
Involve Scouts: Youth participation builds excitement and trust with new families.
By June 7, aim to have:

✅ A recruitment leadership team with clear roles
✅ A SMART goal backed by real data
✅ Charter organization buy-in and support
That is real progress in just one week for your unit.

RUBBER CHICKEN
A great game to energise your group and get them working together

EQUIPMENT: A rubber chicken (or any other soft toy you can get hold of)
REQUIRED: 10–20 minutes

DIRECTIONS:

1. Divide your group into 2 teams

2. One team (Team A) is the "infield." The other team (Team B) is the "outfield"

3. Team A starts by throwing the rubber chicken anywhere in the designated play area it has to land on the ground

4. Team B then runs toward the chicken and forms a single-file line behind it

5. The first person in line picks up the chicken and passes it over their head to the person directly behind, who passes it backwards through their legs. This over-under pattern continues until the chicken reaches the end of the line, and the last person yells "STOP!"

6. Meanwhile, Team A scores runs. One player runs around Team B's line; when they get back, the next player goes - each completed lap scores a run

7. As soon as Team B yells "STOP," Team A stops counting runs

8. Teams then swap roles and play again. The winning team is the one with the most runs

Note: If you play more than one innings, add up the total points across all rounds.
