3/27/2023 - Latest news...the PayHOA system is in place and working great! If you haven't yet signed up (you'll get access to your account, notification whenever your dues payments have been applied, and other news), please send your email to our HOA email address...[email protected], and we'll see that your account is activated.
Other news...POTHOLES on Grand Gulch! We need to make the City aware that they need fixing...please call the Mayor's Action Center (the more folks that call, the better)! (317) 327-4MAC
PLANTER...As you may have noticed, the cement planter at the Grand Gulch entrance was broken by unknown vehicle. At this point, most of the pieces have been removed. We are still pursuing the feasibility of replacing it.
POND fountain...should be restarted soon!
BEAVERS - have been spotted in the front pond, but so far, the trapper has not seen any signs that they are planning a den there. He thinks they may be just "visiting" and may be actually coming from the stream at Greythorne. If you see any signs of beavers or beaver activity, please email us or call (317) 480-1595 ASAP!
HOA MEETING - for all homeowners (renters can come too) - April 19th, 10:30 AM at the FRANKLIN ROAD LIBRARY
YARD SALE - Scheduled for May 17-18 (the weekend after Mother's Day)

We have a new HOA dues payment system coming soon! A new system called "PayHOA" has been implemented, and will soon be available to all. A few users have already used it with no problem. We will be mailing out statements that include Quarter 3 and 4 dues and payments soon.
Please note: for year 2025, we will be issuing twice-a-year statements, with an invoice for the whole year in January (plus any arrearages from prior years), and another statement in July for any unpaid amount. NO LATE FEES WILL BE ASSESSED UNTIL December 31, 2025. If there is any unpaid amount at that time, a $50 late fee will be applied. PayHOA will allow homeowners to pay their HOA dues via credit card or bank payment, at any interval desired - total flexibility. But, the current method - mailed check or money order - will also still be available. And if you prefer to continue to pay quarterly, that will be fine. But, statements will only be mailed out twice a year.
Also, it's important that we have your email address, in order to send an "activation email" to the PayHOA system, that will include a link to the system, so you can set up your account. Please send your email & Brookfield Place home address to our email address...[email protected].

Minutes from our 8/24/2024 meeting...Brookfield Place HOA
24AUG24 Board Meeting Minutes
Bookkeeping options:
– Multiple options were discussed, to include Quick Books own accounting services and
a quote from 330 Accounting Services. Ultimately Pay HOA was selected for
accounting features and user interface.
– The plan is to buy subscription month to month for initial transition and “test period.” If
the services, resident feedback and total cost meet our needs, we will change to
annual subscription to save cost.
– Hope to have financial data migrated in time to try Pay HOA for 4th
Qtr 2024, and in
full use for 1st
Qtr 2025.
PayPal funds access:
– Any deposits/payments after June 3rd
are not accessible and have not been
accounted for in HOA financial records.
– Any residents who have paid dues using PayPal after June 3rd
will be asked to
provide receipt/proof of payment and will have their accounts credited.
– Brenda will follow up with Bryan Hopkins' estate lawyer to see if there is any update
on getting the required documentation to regain access to PayPal account.
– Joshua is looking into any other possible alternatives to gaining access to PayPal
account/funds, if documentation is not provided by Bryan's estate.
Kemba Bank Account:
– Once PayHOA is set up and established we will work towards closing the Kemba
bank account.
– We MAY need Kay's signature to close the account as she is a “co-owner,” if Dylan's
signature as HOA President is not sufficient.
– We will need to remove the documents in safe deposit box and pay fine for lost key.
Documents will be kept in a fire safe by Board Secretary (Joshua) going forward.
– Brenda and Dylan will be addressing process with Kemba.

Update - 8/21/2024 - the front pond fountain has been fixed, and the blue light installed...looks good! Algae continues to be a problem in the front pond, in part, because someone has been dumping their grass clippings into the pond, providing extra nutrients for algae! A letter has been issued.

Newsflash - 8/5/2024....
The front pond fountain has been fixed! Seems to be working ok now. But, the "blue light" won't be installed for a couple of weeks, as they had to order it. Whether we'll have the white light or no light at all until then, remains to be seen...literally!

Also, I did ask the ASAP folks whether the muskrats could have caused the fountain problem, and they said they didn't think so - since we had already put in the "muskrat-proof" fountain supply lines.

Nevertheless, a wildlife trapper is going to look at the ponds (again), as more muskrats appear to be infesting the ponds.

Hi, All - Tuesday, 7/30/2024
As you've probably noticed, the front pond fountain is not working. The pond folks (ASAP Aquatics) were called last week, and came out Friday to repair it. Unfortunately, it has turned out to be a bigger repair than anyone expected, as the pump is not working. They are ordering parts and should be able to give us a quote on the cost of repair by this Friday.
The repair may happen the following Friday or Monday thereafter, so the fountain is going to be down for several more days. 🤨

FYI.. 6/18/2024....We currently have a problem with muskrats and (possibly) beavers on some of our ponds. A wildlife trapper has been enlisted to help resolve the issue, as both types of animals can cause serious damage to the ponds.

**** DO NOT USE PAYPAL ***

Due to the death of our former president, Paypal has locked the account and refuses to allow the HOA any access whatsoever. They will, of course, continue to allow you to send money - BUT will not allow the HOA to receive - or even know who sent money! PLEASE do not use PAYPAL. We are currently working on alternate ways to pay, but in the meantime, only checks, money orders (or cash if need be) can be accepted.
