Public Service Announcement: What’s New With USPS Postmarks

The U.S. Postal Service has clarified how postmarks work, which could affect people who mail time-sensitive items such as tax returns, legal filings, bill payments, or election ballots.

What’s changed?

Postmarks will now reflect the date your mailpiece is first processed by an automated sorting facility, which may be later than the day you dropped it in the mailbox or gave it to a carrier. Mail processing schedules vary across facilities, so the postmark may not always match the date you mailed it.

The Postal Service says this clarification is meant to help customers better understand mailing dates, not to change how mail is handled overall.

Why this matters:

For deadline-driven mail, such as tax forms or ballots, a postmark showing a later date could mean your item is treated as late by the IRS, courts, or election officials.

Tips to make sure your important mail is dated the way you expect:

✔ Visit a Post Office counter and ask for a manual (local) postmark free of charge.
✔ Get a Certificate of Mailing for proof of mailing date.
✔ Consider Certified or Registered Mail, which provides official proof of mailing date.

If you’re mailing anything with a deadline, especially things like IRS returns, legal forms, or ballots, plan ahead and use one of these options so your date of mailing is clear.
