Meeting Minutes
Date: August 10th, 2024
Time: 11:00 AM
Subject: Planning for Washington Street Day - September 21st, 2024
Location: Sunset Park, Washington St.
Attendees:
• Representatives from each family in the Washington Street community.
Agenda:
1. Event Date & Set-Up
o Washington Street Day: Scheduled for September 21st, 2024, with set-up starting at 10:00 AM.
o Rain Date: The event will be postponed to Sunday, September 22nd, 2024, if necessary.
2. Family Representation & T-Shirts
o Each family is to appoint one representative.
o Families will select their own T-shirt color and have the following printed on the front:
Washington Street Born and Raised Till the Grave
o The back of the T-shirt can feature a picture, words, or any other design of the family's choosing.
o Families are responsible for printing and purchasing their own T-shirts (Neon bright color)
3. Food Preparation
o Fish Frying: Boomer has volunteered to fry fish for everyone.
o Families will contribute money to purchase fish, oil and seafood breader.
o Each family is responsible for bringing their own grills and cooking their own food.
4. Event Logistics
o Porter Johns: To be provided by Mark Dye.
o DJ/Music: We are currently searching for a DJ, with a possibility of using a Bluetooth speaker system.
o Bounce House: KK has volunteered to provide the bounce house.
o Games & Activities: Planned activities include Co****le, Water Balloon Toss, and a 3-on-3 Basketball Tournament.
o Raffle: Each family is requested to bring more than one gift for the raffle. Raffle tickets will be distributed during the event.
o Entertainment: Ideas for entertainment are needed, as well as volunteers to perform. A talent show will be organized, and each family is encouraged to submit a contestant.
5. Security
o Volunteers will be wearing security T-shirts.
o We are considering requesting assistance from the local police.
6. City Support Requests
o Requesting the city to cut the grass, scrape the roads, and spray for insects in preparation for the event.
o Families are encouraged to participate in city, county, and recreation meetings to advocate for improvements to the park so it can be fully utilized by all families in the future.
7. Pricing
o Families are to discuss and agree on a fair price for contributions towards the purchase of fish, oil, and any additional event expenses.
Action Items:
• Families: Select T-shirt colors and designs, appoint talent show contestants, bring raffle gifts, and agree on a fair price for event contributions.
• Boomer: Coordinate fish frying.
• KK: Arrange for the bounce house.
• City Requests: Follow up with the city for park maintenance and road clearance.
The meeting adjourned with a consensus to continue working together to make Washington Street Day a memorable event for the entire community.
Next Steps: Follow-up meetings and planning is scheduled for September 7th, 2024.
