Special Events Coordinator
Supports the success of the Region fundraising events. Works with staff and volunteer leadership to assist with planning, coordinating, and implementing events designed to raise funds for and to promote community awareness of Red Cross programs and services. Responsible for meeting an annual revenue target by working with an assigned portfolio of donors and prospects to increase event sponsorship.
Responsibilities
• Provide administrative support in the research and solicitation of new and existing donors to support region special events.
• Perform complex administrative duties, with little supervision, exercising confidentiality, independent discretion, and judgment.
• Represents the Global Humanitarian Aid & Social Development, Inc. in a positive manner at all times, including working with staff, volunteers, and vendors.
• Provides staff support and leadership to event chairs and related committees formed to help secure sponsors and participants. Support may include keeping records, preparing meeting notices and minutes, handling correspondence, and meeting with event committees.
• Coordinates work with external and internal audiences, including vendors and donors.
• Assists with planning, implementation, and production of all fundraising events, including vendor relationships, budgets, and event logistics.
• May coordinate activities related to the event program.
• Works with Communications and Marketing to develop materials related to events, including external communications, printed event materials (including but not limited to signage, programs, name tags, etc.) and event scripts.
• Maintains spreadsheets of all special event timelines.
• Works at special events as directed, including preparation, set-up, event ex*****on, and teardown.
• Assists in performing regular administrative duties in a timely and efficient manner; including but not limited to recording and tracking donor contracts and payments, reviewing and submitting event-related invoices for payment, writing acknowledgment and thank you letters, assembling donor solicitation packets, creating and updating donor/program related forms, researching both monetary and in-kind funding sources, writing solicitation letters, executing mass mailings.
• Responsible for a fundraising portfolio. Additional direct fundraising responsibilities include managing third party fundraisers, event silent auctions, and direct day of event donations.
• The individual will build a portfolio to include new event sponsors.
• Works to identify, cultivate, solicit, and steward appropriate donors with an emphasis on maximizing revenue through events for The Global Humanitarian Aid & Social Development, Inc.
• Update donor records in the contact management system (Salesforce) following all donor interactions.
• It is the responsibility of all Red Cross staff members to recruit, train and work with volunteers and to treat all clients, volunteers, guests, and other employees in a courteous and respectful manner at all times while maintaining a cooperative atmosphere for everyone. It is expected that each member of the regional management team to work with a volunteer counterpart to ensure essential volunteers are utilized and ensure depth within the function.
• Carries out any additional assignments required to fulfill the Mission of the Global Humanitarian Aid & Social Development, Inc.
Qualifications
• Bachelor's degree required; advanced degree is highly desirable.
• Minimum 3-5 years of special events experience, nonprofit events preferred.
• Minimum 2-3 years of fundraising experience preferred.
• Corporate and Business-to-Business sales leadership experience may be substituted for fundraising experience.
• Significant expertise with the area's funding community highly desirable. Progressive experience in successful development programs and knowledge of "best practices" in development.
• Ability to relate well and work effectively with multiple constituencies and audiences. Excellent verbal and written skills.
• Knowledge of office systems: MS-Office preferred and fundraising database systems (e.g., Raiser's Edge, Salesforce.com).
• Highly organized and detail-oriented to manage event timelines and marketing processes.
• A team player committed to developing and working within a collaborative environment and to ensuring the highest customer service orientation.
• Requires occasional travel within the region. The amount will vary depending upon the size and geography of the region.
