The Business Office Manager will report to the Executive Director of the Institute. The position will be based in Tampa, FL.
Job Description: The Business Office Manager’s role is responsible for Institute business operations including human resources, financial and contracts management, supporting the Executive Director with program oversight for Institute service and seed funding programs, and other activities as required.
Responsibilities of the Business Office Manager include:
- Communications: Monitor all incoming communications and public inquiries (mail, email, and phone), organize and respond or direct to appropriate Institute staff member
- Assist in Human Resource matters
- Financial items including accounts receivable, accounts payable, billing and tracking, monthly reporting and more
- Administrative support for Institute funding activities
- Assist the Executive Director with quarterly reporting tasks and tracking of Institute specific metrics
- Support and participate in the organization of monthly Board of Director meetings and other Board related activities as directed by the Executive Director
- Provide administrative assistance in annual audit and compliance matters
- Provide administrative support for annual reporting
- Coordinate with Executive Director on other administrative tasks, including record keeping, operational procedures, contract management, and other miscellaneous items that may arise
Job Requirements: The ideal candidate will have many of the following attributes:
- 5 years of administrative or related experience and knowledge of office management systems and procedures
- Undergraduate college degree
- Attention to detail and problem-solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Strong verbal, written, and presentation skills before audiences with diverse backgrounds
- Strong organizational and planning skills
- Proficient in Adobe Acrobat, Microsoft Office, QuickBooks
- Grant writing experience
- Experience in analysis, financial management, strategic planning, organizational management, governance, and compliance are a plus
