Job Description: This position will be responsible for the promotion and continuity of the Rose District brand in the Tulsa Metro and beyond. They will also serve as the face of the Rose District, being responsible for ensuring consistency with outside entities as well as merchants and providing them a point of contact for information. Likewise, they will be responsible for ensuring events held in the district are of a quality fitting of its reputation and are promoted accordingly.
Position would be a 40-hour a week minimum salaried position with occasional after hours events, including BA Chamber events and programming.
Education:
- Bachelors degree in communications, branding, marketing and/or events management or related fields preferred.
Skills required:
- Ability to present oneself in a professional manner in both appearance and verbally
- Ability to articulate and draft messaging both verbally and in print
- Able to maintain website using WYSIWYG platform

Responsibilities would include, but not limited to:

Bookkeeper
GENERAL OVERVIEW OF THE POSITION:
This position will support the CEO, Chamber SVP and EDC SVP in carrying out the financial responsibilities of the Chamber and EDC. Additionally this position will assist in handling day to day HR issues such as payroll, leave requests and benefits questions. Full or part-time candidates will be considered for the position.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Maintain all budgeting information and produce month end reports to the executive team
• Manage employee credit card applications and charges
• Process all accounts payable in a timely manner
• Process all accounts receivable, including invoicing for memberships, sponsorships, etc.
• Track aging report and work with the appropriate staff to keep the aging report recent
• Manage check requests and employee reimbursement checks
• Manage relationship with payroll software company
• Assist CEO with all benefits, including 401(k), health care, short term disability, etc.
• Manage petty cash account
• Assist executive team with managing and tracking contracts
• Assist membership staff with tracking trade memberships and sponsorships
• Maintain trade database for use by all staff
• Work with appropriate staff to ensure fulfillment of sponsorships
• Learn and show high proficiency in managing Chamber database, ChamberMaster
• Assist the CEO in tracking and maintaining company insurance policies
• Perform other bookkeeping, or administrative tasks as required from time to time – quite often on short notice - by the CEO or SVP’s
• Assist with Annual Awards Banquet, Rooster Days, Taste of Summer, Santa Run, TRC & Buy Broken Arrow
• Assist staff with membership events as needed; will be expected to work some early morning, evening and weekend events
• Other duties as assigned by management
SKILLS AND ABILITIES:
• Bachelor’s degree in accounting, or a Bachelor’s degree in business with emphasis in accounting, is required.
• Degree(s) must be from a credible college or university
• Must be a perfectionist by nature, with no tolerance for financial sloppiness.
• Must be highly skilled in dealing with financial and numeric data.
• Must be highly skilled in use of Excel Spreadsheets and QuickBooks with ability to learn new software quickly.
• Must have very good verbal and written communication skills.
• Must have excellent work habits, including a willingness to work the hours necessary to get the job done, especially when important deadlines cause greater than normal departmental pressures.
• A minimum of 2 years’ experience in bookkeeping is required.

Job Posting: Executive Assistant to the President and CEO

Job Description: Reporting directly to the President and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant also serves as a liaison to the Chamber and Economic Development Corporation boards of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, fast-paced entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles and Responsibilities
Executive Support
• Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; completing expense reports;
Composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
• Communicates directly, and on behalf of the President and CEO, with Board members, donors, members, elected officials and others, on matters related to CEO's programmatic initiatives.

• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

• Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

• Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.

• Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which may have organizational impact.

• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.

• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Board Support and Liaison
• Serves as the President's administrative liaison to Broken Arrow Chamber of Commerce board of directors and the Broken Arrow Economic Development Corporation board of directors
• Assists board members with information requests
• Maintains discretion and confidentiality in relationships with all board members
• Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
• Create and distribute agendas for board meetings
• Monitor expected attendance to ensure a quorum
• Takes and compiles minutes for all board meetings
• Maintains corporate records including minutes and applicable reports

Senior Management Liaison
• Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings
• Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings
• Facilitates cross-divisional coordination of travel and outreach plans

Communications, Partnerships, and Outreach
• Ensures that the President's bio is kept updated and responds to requests for materials regarding the President and the organization in general
• Edits and completes first drafts for written communications to external stake holders
Strategic Initiatives
• Works with the Strategic Initiatives team in coordinating the President's outreach activities
• Follows up on contacts made by the President and supports the cultivation of ongoing relationships
• Edits and creates acknowledgement letters from the President
