Applications for September VPC Youth Event Funding are due today, August 7!

Before you submit, take a few minutes to complete this final application check:

✅ Is your event free and open to St. Louis County youth?
✅ Does your event include fun, engaging, and age-appropriate activities?
✅ Is your application focused on teens, especially ages 14–19?
✅ Does your budget clearly explain each expense?
✅ Is around 50% of your budget dedicated to direct youth benefits such as activities, refreshments, entertainment, and other youth-facing costs?
✅ Did you avoid gift cards and giveaway-focused expenses?
✅ Did you include a realistic plan for outreach, registration, and attendance tracking?

A strong application should make it easy for reviewers to understand what youth will experience, how many youth you plan to serve, and how each expense supports the event.

Organizations planning safe, fun, and engaging events for St. Louis County youth have until **Friday, August 7** to apply for VPC Youth Event Funding for September events.

💰 **Make your budget stand out:**
✅ Direct most of the funding toward activities youth will experience
✅ Clearly itemize supplies, food, staffing, entertainment, and other costs
✅ Show how you calculated personnel expenses
✅ Keep administrative and marketing costs reasonable

🏆 WINNING WEDNESDAY: KNOW YOUR COST PER PARTICIPANT!

A strong event budget should match the number of youth you plan to serve.

Reviewers look at more than the total amount requested—they also consider the cost per participant served.

To calculate it:

Total Funding Request ÷ Number of Youth Expected = Cost Per Participant

For example:

💰 $2,500 request ÷ 50 youth = $50 per participant
💰 $2,500 request ÷ 20 youth = $125 per participant
💰 $5,000 request ÷ 75 youth = about $67 per participant

As a general guideline, try to keep your projected cost $100 or less per participant, unless your application clearly explains why the event requires higher costs.

✅ Make sure your attendance goal is realistic
✅ Clearly connect each expense to the youth experience
✅ Avoid requesting a large amount for a small number of participants
✅ Explain higher-cost activities, transportation, staffing, or special accommodations
✅ Show how the funding will create meaningful value for each young person served

Application Tip: Review your budget from the reviewer’s perspective:
Does the amount requested make sense for the number of youth who will benefit?

Your budget should help reviewers clearly see how the funding will create a meaningful experience for youth.

As a general rule, aim to dedicate around **50% of your budget to direct youth benefits**, including:

✅ Interactive activities
✅ Entertainment
✅ Refreshments and meals
✅ Transportation
✅ Activity supplies
✅ Youth ambassador stipends
✅ Other youth-facing event costs

Keep personnel, administration and marketing costs reasonable, and explain exactly how each expense was calculated.

Instead of writing:

“Event staff — $800”

Try:

“4 event staff × 5 hours × $25 per hour = $500”

**Application Tip:** Every budget item should connect directly to the event and the number of youth you plan to serve.

💡 Tips for a strong application:
✅ Create an event that is fun, interactive, and youth-centered
✅ Prioritize teens ages 14–19
✅ Clearly explain what youth will do—not just what they will learn
✅ Include a realistic plan for reaching and registering youth
✅ Consider an evening or weekend event when teens are most available

First-time VPC applicants may request up to $2,500, while previously funded organizations may request up to $5,000, based upon past grant performance and attendance
