Re: IMPORTANT UPDATE: New Vantaca Software Launch on May 1

It’s official! As mentioned earlier this month, we will be going live with our new Vantaca software on May 1st!

On May 1st, you will receive a link for Vantaca to set up payments, update account information and submit requests. Please be on the lookout for these important communications. In the interim, please find additional information attached regarding payment set-up so that you are prepared to log in on May 1st.

Please note that your previous account number will no longer be in use and a new one will be assigned. The attached information sheet will provide the necessary information to guide you through the next steps for setting up your new portal access on May 1st, as well as outline your available payment options going forward.

As a reminder, if you are already enrolled in ACH, no action is required for your regular dues payments. Your payment will continue to be automatically deducted from your bank account on the 5th of each month with the exception of May, when draft will occur on the 10th. If you are set up on a payment plan for dues or special assessments, you will need go in to set up your preferences on the portal.

We do anticipate a transition period of approximately 60 days as we implement this change, and we greatly appreciate your patience and understanding as we work to enhance our services. During this time, late fees will not be assessed to owner accounts.

If you have any questions or need assistance, please don’t hesitate to reach out to your Association Manager. We are here to help.

A note from our neighbors:

Hi Richard,
Thank you so much for your response. We are hoping that the Lavender Glen HOA will help us with this recurring issue and inform residents that entering marked/posted private properties is now being taken more seriously than before. Please know that the tone of this email isn't to be harsh or angry, but I just want to best inform you about the happenings on the private properties to the south and west.

Over the last several years, we've had several instances of trespassing from folks in the Lavender Glen neighborhood. Most of the time, these instances have been from folks wandering onto the property, playing in the creek, walking their dogs, etc. This seems innocent enough, but many of the times we encounter trespassers, it is while we are actively hunting (which poses another risk when people enter private property unbeknownst to the hunter). Some folks have entered as far as 0.25-mile inside of the private property. When approached, most folks caught trespassing are polite enough and return home through the woods back into Lavender Glen. We are getting similar complaints from our neighbors to the east and west that can trace trespassing back to the Lavender Glen neighborhood or the "nature trail" that is on the HOA property. However, the instances of trespassing have increased significantly in the last 12 months as has the associated littering and property damage.

One particular area, which we have referred to as "the hangout spot" is located immediately adjacent to the Lavender Glen HOA property (see the image below). To access this area, folks are using a well-worn path on Lavender Glen HOA property, crossing a "posted" sign, and entering "the hangout spot". This spot is located on our property and has experienced dumping/littering, vegetation clearing, hole digging (to bury trash), modification to the stream and streambank, loitering (bringing in lawn chairs, floats, building fires on the creek bank, etc.). There is an old barbed-wire fence (down in many areas), but is posted every 30 or so feet with "Posted: no trespassing" signs, and has a series of marked steel posts. In the last few weeks, we went back out and marked the boundary with bright pink flagging tape and additional signage to discourage illegal entry. At that time, two more people were found trespassing - both of which were entering the private property from a well-worn trail from the Lavender Glen neighborhood/HOA property. This time, ACC PD were called in and issued verbal warnings. We have since removed all of the trash (55-gallon drum liner worth of trash), destroyed the make-shift fire pit, steps, and handrails, and have marked the boundary with even more signage. We hope the additional signage is not ignored.

Please know that "the hangout spot" is the area experiencing the worst offenses. Essentially, the involvement of law enforcement officials is now going to be the preferred approach to handling the trespassing issues. We hope you can assist us in informing the Lavender Glen residents that illegal trespassing is being taken very seriously by surrounding private landowners.
