Yesterday, we officially submitted the endorsement letter to the Barangay Hall of Tambler for our upcoming outreach program. The letter was received by the Barangay Secretary and was formally approved, allowing us to proceed with our planned activities in Purok Banisil.

During the visit, the team also conducted a site inspection at the barangay gymnasium, which will serve as the official venue for the outreach program. Last Tuesday, February 10, the Event Head, Secretariat, and Budget Officer presented updated details regarding our upcoming outreach program. They formally informed the instructor about the finalized beneficiary community in Purok Banisil, Barangay Tambler, and shared highlights of their coordination with the Purok Chairman regarding the proposed event.

The team also reported on the preparation of the learning kits, including where the materials will be purchased, the cost per kit, each member’s contribution, and the projected total budget. In addition, they discussed the formal letter to be submitted the following day, addressed to the Barangay Kapitan of Barangay Tambler, to officially seek approval and coordination for the outreach activity.

During our Laboratory 2 session last February 6, we worked on developing the core foundation of our proposed outreach event. Within the class hour, we finalized our organization’s name, description, and logo, and created an organizational chart with designated committee members to clearly define roles and responsibilities.

We also established the event’s name, description, category, mission and vision, overall concept, feasibility analysis, goals and objectives, and SWOT analysis. In addition, we identified the key stakeholders, target audience, purpose, timing, format, venue, environment, and theme to ensure that every aspect of the event was carefully planned and aligned.

To complete the planning framework, we prepared the proposed budget allocation and applied the Five Ps of marketing to strengthen our strategy. This session allowed us to transform our ideas into a structured and comprehensive event plan.

Last February 2 & 9, we conducted our first and second coordination meetings for the upcoming outreach program. During the initial meeting on February 2, members finalized the agreed contribution per person, including the schedule for the first and second payments. The team also discussed the proposed activities such as parlor games, preparation of visual aids, and drafting of formal letters through Gmail and a printed copy for proper coordination.

In the second meeting held on February 9, the team reviewed updates and identified possible alternative communities in case the initial target area would not be available. These meetings strengthened our planning process and ensured that the outreach program remains organized, flexible, and ready for implementation.

HAPPENING NOW: On February 9, 2026, at exactly 4:00 PM, HERS Foundation representatives conducted a site visit to Purok Banisil, Barangay Tambler in preparation for the organization’s upcoming outreach program. The team met with Purok Chairman Mrs. Jean Marie Obalan to coordinate key details for the activity.

During the discussion, important matters were addressed, including the possible date of the outreach and the identification of target beneficiaries—particularly the children who will receive school supplies. Mrs. Obalan shared helpful information regarding the estimated number and age range of the children to guide the organization’s planning and preparation.

The team also presented proposed activities such as school supply distribution and interactive sessions for the children. The meeting concluded positively, with both parties committed to continuous coordination to ensure a meaningful and successful outreach program for the community.
