TERMS OF REFERENCE (TOR) Photography and Videography Consultancy Services
Introduction: Blue Diamond Society invites applications from dynamic and experienced consulting firms or individuals for a photography and videography assignment. The selected consultant will be responsible for executing the tasks outlined in the objectives and scope of work below. Applicants must demonstrate a proven track record of delivering high-quality visual outputs. Preference will be given to firms or individuals based in Nepal, with additional consideration for those led by marginalized communities and young people.
Objective: The overall objective of this consultancy is to professionally document three major events through high-quality photography and videography. Specifically, the consultant will:
1. Capture still photographs and video footage of 3 events; A) Nepal PRIDE Parade & Gaijatra, B)Celebration Program, and C) Teej Program.
2. Document event activities through compelling visual formats, including photo stories, documentaries, and short videos.
3. Ensure that visual output effectively reflects the key themes & messages of the program.
Tasks: The photographer and videographer will be responsible for the following:
1. Capture high-quality video footage and photographs of all scheduled activities.
2. Edit the footage into a cohesive, polished video that clearly communicates the program's core messages and the significance of the events.
3. Ensure that all final outputs; both photos and videos are of professional quality and meet the required technical standards for dissemination, archival, and public communication.
4. Submit all raw footage and the final edited videos (maximum 3 minutes highlighting each event) to the project team within the stipulated timeframe.
Deliverables: The consultant/firm is required to submit the following deliverables:
1. A complete set of high-resolution, professionally edited digital photographs from the events to be submitted within 4 days of each event
2. A polished, edited video (format suitable for dissemination and documentation) that highlights the key themes and messages of the program to be submitted within 7 days.
Timeframe and Supervision: The assignment covers three specific events:
1. Nepal Pride Parade and Gaijatra – 29 August 2026
The event will be an outdoor rally covering the areas of Durbar Marg, Thamel, Thaiti, Indra Chowk, Basantapur, and New Road. More than 400 participants are expected to attend. The rally will conclude with stage performances. The event is expected to last approximately 4 hours.
2. Celebration Program – 12 September 2026
This will be an indoor event featuring performances, speeches, and discussions. The venue will be a hotel (venue to be confirmed), with approximately 200 participants expected. The event is expected to last approximately 2 hours.
3. Teej Festival Program – 14 September 2026
This will be an indoor event featuring performances, speeches, and games. The venue will be a party palace (venue to be confirmed), with approximately 500 participants expected. The event is expected to last approximately 3 hours.
The assignment is expected to be completed within the allotted timeframe for each event. The consultant will report directly to the Project Team and work in close coordination with the project team throughout the assignment.

• Budget breakdown separately for each event
