INTERNSHIP OPPORTUNITY
INTERN: SECRETARY FOR TEACHING AND LEARNING
No salary or any allowance
Six(6) Months contract:
ELIGIBLE FOR PERMANENT EMPLOYMENT AFTER 6 MONTHS
TOWN: RUNDU
Duties:
1. Coordinating , Recording and Reporting class attendance registers for all programmes
2. Recording and Reporting CA Assessment Mark's to Assistant Registrar for Academic Administration (ARAA)
3. Coordinating and Managing Master time table, FT Class Time table and one time tables
4. Make sure all Lecturers/Instructors have developed/designed and submitted their Training Plans, Lesson plans and Teaching slides for approval to the Centre Manager and Head of Training
5. Make sure all students have received their/Issue Qualifications, Unit standards/Course outlines, Teaching slides, Assignments and Assessment feedback
5. Update lecturers/ Instructors personal files
6. Organise, Plan , Coordinate and be part of the Class Monitoring and Evaluation Programme.
7. Submmit and issue teaching and learning materials to the Senior Student Record and ICT Systems Administrator for uploading on the NTA E-Learning module System and Student Information Management System.
8. Make sure all teaching and learning related materials have been filled both hard copy, in the computer, stored in the strong safety room and on the online saving system.
9. Issue and recieve Assignments for distance students
10. Organise and coordinate online and distance learning face to face classes.
11. Be the main point of contact and general enquiries for all affairs relating to teaching and learning.
12. Ensure all staffs who are teaching online and distance have access to internet
13. Manage Teaching and Learning budget
14. Process and print teaching and Learning materials.
15. Conduct Formal presentation (using powerpoint slides) to internal and external stakeholders on the progress of teaching and learning in terms of Quality Assurance, documentation, student and staff support
16. Order and secure prescribed teaching and learning materials for all programmes in the institution.
17. Create, File, Record, Present Trainees personal file to students and instructors.
18. Develop meeting agendas, Minutes, Moirxes and reports for all teaching and learning committee.
19. Manage lectures personal inventories sheets, ensure the insitution has all required tools and equipments for all the programmes it offers. Get quotations and submit to heads of departments for attention.
ADDITIONALLY:
20. Manage classrooms, and ensure they are neat at all times.

1. Serve as the Secretary for Teaching and learning Standing Committee
2. Serve as the librarian and Computer lab Manager.
3. Serve as the Secretary for staff general briefing daily (morning) meetings, ensure the agenda, minutes are ready, and prepare weekly report.
4. Be the point of contact, serve as the senior Coordinator and supervisor of all Regional Distance Learning Centres (Student Support, Information and Distance Learning Officers) and ensure regional Centres offices are running smoothly.
5. Work with various lectures and instructors from other institutions for networking, resourcing, partnerships and bench marking.
MINIMUM REQUIRED QUALIFICATIONS
* National Vocational Certificate in Office Administration Level 3 OR Diploma or Degree in Related academic fields of (Business, Commerce, Management, Education, Office Management and Technology, Library Management, and etc..)
* must be a senior continuing final year student at the institution enrolled or Graduate
* must be able to work under pressure, independently with less supervision after being trained and inducted
* must be good in Computer, ICT, Typing, Using various Microsoft Applications such ad PowerPoint, Outlool, office word, excel and etc..
* must be of high moral and well discipline, present her/himself professionally both in dressing codes, behaviours, attitudes and speaking
* must be willing to learn and be exposed to other work out off her/his scope for knowledge and skills expansion
* flexible with working hours, able to travel at Regional Centres
