Background:
Sustainable Development Network Canada (SDNC) is committed to advancing sustainable development, promoting community engagement, and preserving cultural heritage through a variety of initiatives. These include:
• Launching sustainable community projects such as community gardens.
• Supporting small businesses through expos and organizing environmental cleanup campaigns.
• Promoting cultural heritage through festivals.
• Organizing forums on gender equality and health expos to improve community well-being.
• Hosting training workshops and job fairs to foster skill development and employment.
• To ensure the effective implementation and coordination of these activities, SDNC seeks a dedicated and experienced Program Coordinator.

Objective of the Assignment:
The Program Coordinator will be responsible for overseeing the planning, ex*****on, monitoring, and reporting of SDNC’s programs from August to December 2024. The role requires ensuring that all activities are completed on time, within scope, and in alignment with SDNC’s mission and objectives.

Accountabilities & Responsibilities:
Program Planning and Coordination:
• Lead the development of detailed work plans and timelines for each program initiative.
• Coordinate the logistics for events, including venue bookings, transportation, equipment, and materials.
• Ensure all necessary resources (staff, volunteers, and partners) are available for the successful implementation of activities.
Volunteer and Partner Coordination:
• Recruit, train, and manage volunteers required for each event or program.
• Maintain effective communication with community partners, stakeholders, and vendors to ensure smooth ex*****on of events.
• Build and maintain relationships with local organizations, businesses, and governmental bodies to secure support and collaboration for SDNC’s initiatives.
Event Management:
• Oversee the planning and ex*****on of SDNC events, such as the community garden launch, small business expos, cultural festivals, and job fairs.
• Ensure that events run smoothly, addressing any issues that may arise in real-time.
• Supervise setup and breakdown of events and manage on-site staff and volunteers.
Monitoring and Evaluation:
• Track progress against goals and ensure programs meet deadlines and performance expectations.
• Develop tools to collect data and measure the success and impact of the programs.
• Prepare monthly reports on the status of program implementation, highlighting successes, challenges, and lessons learned.
Budget and Resource Management:
• Work with the finance team to monitor program budgets and ensure resources are allocated effectively.
• Ensure that all program expenditures are within the approved budget and appropriately documented.
Communications and Reporting:
• Work with the marketing and communications team to promote events, ensuring strong community participation.
• Regularly update SDNC leadership on program progress, challenges, and needs.
• Contribute to the preparation of reports for funders and stakeholders.
Risk Management:
• Identify potential risks to the successful implementation of programs and events.
• Develop and implement mitigation strategies to address these risks.
• Deliverables:
• Comprehensive work plans and timelines for all SDNC programs and events.
• Well-executed events that meet their objectives and engage target audiences.
• Regular progress reports to leadership on the status of programs and any adjustments made.
• Data collection and analysis reports on program impact.

Certifications/Education Required
• Bachelor's degree in project management, social sciences, development studies, or a related field.
• Minimum 2-3 years of experience in program coordination or project management, preferably in the non-profit or community development sector.
• Proven ability to manage multiple projects simultaneously and meet deadlines.
• Strong organizational skills with the ability to manage logistics and coordinate with multiple stakeholders.
• Excellent written and verbal communication skills.
• Experience in working with volunteers and community partners.
• Ability to work collaboratively with diverse teams and maintain effective relationships with stakeholders.
Competencies and skills
• Knowledge of sustainable development and community engagement practices.
• Experience in event management and volunteer coordination.
• Familiarity with budgeting and resource management.
• Proficiency in Microsoft Office and project management software (e.g., Asana, Trello, etc.).
• Fluency in English is required; knowledge of French and/or Indigenous languages is an asset.

Reporting:
• The Program Coordinator will report directly to the Program Manager and work closely with the leadership team, program staff, and external partners.

• Stay informed about donor interests and trends in the areas of sustainable development, cultural preservation, gender equality, and community health.
Budget Development:

• Ensure budgets align with grant requirements and are presented clearly in proposals.
Coordination and Collaboration:
• Coordinate with SDNC’s program managers, volunteers, and community partners to gather input and feedback on program details and proposals.

Follow-up and Reporting:
• Track the status of submitted proposals and communicate with funders as necessary.
