𝐀𝐠𝐞𝐒𝐞𝐧𝐬𝐞 𝐈𝐧𝐢𝐭𝐢𝐚𝐭𝐢𝐯𝐞 (𝐀𝐒𝐈)
𝐅𝐮𝐧𝐝 𝐔𝐬𝐚𝐠𝐞 𝐏𝐨𝐥𝐢𝐜𝐲
𝐃𝐚𝐭𝐞: 𝐌𝐚𝐫𝐜𝐡 𝟐𝟔, 𝟐𝟎𝟐𝟔
𝟏. 𝐏𝐮𝐫𝐩𝐨𝐬𝐞
This Fund Usage Policy is established to ensure transparency, accountability, and sustainability in the financial management of all projects conducted by AgeSense Initiative (ASI). It defines how donated funds will be allocated and used across all organizational projects and campaigns.
𝟐. 𝐆𝐞𝐧𝐞𝐫𝐚𝐥 𝐀𝐥𝐥𝐨𝐜𝐚𝐭𝐢𝐨𝐧 𝐏𝐫𝐢𝐧𝐜𝐢𝐩𝐥𝐞
For every project or fundraising campaign conducted by AgeSense Initiative (ASI), the collected donation amount shall generally be allocated as follows:
> 90% of the total funds raised will be used for direct project implementation
> 10% of the total funds raised will be allocated to general administrative and organizational support costs
This policy ensures that the majority of donations directly benefit the intended beneficiaries while also supporting the organizational capacity required to plan, manage, and sustain impactful programs.
𝟑. 𝐔𝐬𝐞 𝐨𝐟 𝐭𝐡𝐞 𝟗𝟎% 𝐃𝐢𝐫𝐞𝐜𝐭 𝐏𝐫𝐨𝐣𝐞𝐜𝐭 𝐅𝐮𝐧𝐝
The 90% direct project allocation shall be used strictly for costs directly related to the ex*****on of the specific project, including but not limited to:
Procurement of project-related goods and supplies
Beneficiary support items
Project-specific labor or service costs
Transportation and delivery costs
Logistics and handling
Accommodation (if necessary for project ex*****on)
Volunteer refreshments during field operations
Packaging and distribution costs
Venue or setup costs directly required for the project
Other operational expenses directly tied to that project
𝟒. 𝐔𝐬𝐞 𝐨𝐟 𝐭𝐡𝐞 𝟏𝟎% 𝐀𝐝𝐦𝐢𝐧𝐢𝐬𝐭𝐫𝐚𝐭𝐢𝐯𝐞 𝐀𝐥𝐥𝐨𝐜𝐚𝐭𝐢𝐨𝐧
The 10% administrative allocation may be used to support the general operational and administrative needs of AgeSense Initiative (ASI), including but not limited to:
Staff salaries and stipends
Office rent or workspace expenses
Organizational merchandise and branding materials
Communication and coordination expenses
Software, tools, and subscriptions
Printing and documentation
Banking, transaction, and financial processing charges
Equipment or supplies for administrative operations
Other general overhead costs necessary for sustaining the organization
𝟓. 𝐄𝐱𝐜𝐞𝐩𝐭𝐢𝐨𝐧𝐚𝐥 𝐂𝐢𝐫𝐜𝐮𝐦𝐬𝐭𝐚𝐧𝐜𝐞𝐬
In exceptional cases, AgeSense Initiative (ASI) may adjust the above allocation ratio when the nature of a project requires a different cost structure.
Examples may include:
Emergency response projects
In-kind donation campaigns
Projects with unusually high logistics or administrative requirements
Sponsored or restricted-fund projects with donor-imposed conditions
Any such exception must:
Be approved by the Board of Executives (or authorized executive authority)
Be documented in writing
Be clearly communicated internally, and where appropriate, disclosed to donors or the public
𝟔. 𝐓𝐫𝐚𝐧𝐬𝐩𝐚𝐫𝐞𝐧𝐜𝐲 𝐚𝐧𝐝 𝐑𝐞𝐩𝐨𝐫𝐭𝐢𝐧𝐠
For every project, AgeSense Initiative (ASI) shall maintain financial records showing:
Total funds raised
Amount allocated to direct project costs
Amount allocated to administrative costs
Breakdown of major expenditure categories
Supporting receipts, invoices, or documentation where available
Project reports may include a summary of fund utilization to maintain trust and transparency with donors, partners, and stakeholders.
𝟕. 𝐂𝐨𝐦𝐩𝐥𝐢𝐚𝐧𝐜𝐞
All members, executives, and departments involved in project planning, fundraising, procurement, and ex*****on are expected to comply with this policy. Misuse of funds or deviation from this policy without proper authorization may result in internal disciplinary action.
𝟖. 𝐄𝐟𝐟𝐞𝐜𝐭𝐢𝐯𝐞 𝐃𝐚𝐭𝐞
This policy shall become effective upon approval by the authorized leadership of AgeSense Initiative (ASI) and shall remain in force until amended or replaced by a future resolution.

This Fund Usage Policy was reviewed and approved by the authorized signatories of AgeSense Initiative (ASI) on 26 March, 2026.
