VACANCY ANNOUNCEMENT
(Administrative Coordinator/Cover for Maternity Leave)

Korea International Cooperation Agency (KOICA) Azerbaijan Office is currently looking for a qualified Administrative Coordinator (or Administrative and Program Officer) to undertake a range of administrative and programmatic coordination tasks.

PERIOD OF SERVICE: Cover for Maternity Leave from December 1, 2024 to March 31, 2024 (4 months)
★ Employment duration is subject to extension by up to one month, depending on circumstances.

FULL-TIME POSITION: Monday-Friday (5 days), 8:30am-5:30pm
LOCATION: Baku, Azerbaijan
SALARY: To be decided based on the KOICA Azerbaijan Office Regulations

DUTIES AND RESPONSIBILITIES:

Coordinating KOICA Training and Master Programs:
- Reviewing the accuracy and completeness of the application forms and all other supporting documents;
- Conducting phone or face-to-face interview either in English or Azerbaijani in order to select well-qualified fellows;
- Drafting invitation letters and assisting candidates, in obtaining visa from the Korean Embassy
- Conducting Orientation Meeting and make a brief presentation on the KOICA activities in Azerbaijan;
- Providing administrative support for the organization of online trainings sessions in Azerbaijan,
Public Relations:
- Drafting press releases on KOICA activities both in English and Azerbaijani languages and sharing with the online newspapers when needed;
- Compiling press releases related to KOICA activities;
- Translating press releases from Azerbaijan to English related to KOICA activities in Azerbaijan
- Managing the inventory of promotional items of KOICA office.
- Other tasks related to Public Relations.

Official Letter Preparation and External Response:
- Drafting official letters, ensuring accuracy, professionalism, and adherence to organizational standards.
- Creating and maintaining a systematic record-keeping system for all official letters, both incoming and outgoing.
- Ensuring confidentiality and security of sensitive information in accordance with organizational policies.
- Handling inquiries received via the official office email or phone

Translating and interpreting:
- Assisting in translation and interpretation between English and Azerbaijan languages related to the KOICA Program implementation.
- Translating incoming letters and documents into the required languages, maintaining linguistic accuracy and cultural sensitivity.

Conducting surveys:
- Conducting monthly survey on security issues in Azerbaijan (monthly report);
- Researching development cooperation trends in Azerbaijan;
- Preparing additional reports and research as may be required by the KOICA.
Other administrative affairs:
- Preparing agendas and arranging field visits, appointments and meetings both internal and external related to the project activities and taking minutes during the meetings;
- Providing administrative support for the management of the office;
- Undertaking other tasks as assigned.

REQUIRED SKILLS AND EXPERIENCE
Nationality:
- Azerbaijani
Education:
- A Bachelor’s degree in management, development, social studies, and/or another relevant fields;
- Master’s degree in relevant field will be an asset;
Experience:
- A Minimum of 3 years of relevant experience in project and program management at the national or international level;
Language requirements:
- Fluency in both oral and written English and Azerbaijani is required;
- Korean language proficiency is an asset;

Soft skills and other requirements:
- Ability to work both independently and collaboratively within a team;
- Foster positive relations within the team and external parties;
- Excellent time-management and organizational skills;
- Well organized and detail-oriented.
- Strong drafting, presentation, written and reporting skills;
- Strong computer skills, in particular mastery of all applications of the MS Office package and internet search.
