A message from the Administrators of WCHA:
Dear Patients
As you are aware, the practice closed its doors on 29 June 2026. To ensure the orderly wind down of the practice’s affairs, a Voluntary Administrator (Worrells) was appointed.
We understand that the unexpected closure of the practice has been distressing and disruptive for many patients. We appreciate that access to your medical records is an important matter, particularly for those requiring ongoing medical treatment, and we thank those who have been patient and understanding during this process.
As the Voluntary Administrator’s of the practice, our office has inherited responsibility for more than 1,500 patient records. Since our appointment, we have received a significant number of requests for access to medical records, many of which are urgent in nature. Please be assured that it is not the intention of the Voluntary Administrator or our firm to prevent or delay patients from obtaining access to their medical information. Our priority is to facilitate the transfer of records as securely and efficiently as possible.
To ensure patient confidentiality and the integrity of the records, medical files are being extracted in an encrypted XML format. This is the format in which the records can be securely exported from the practice's medical software. As XML files require compatible medical practice software to be accessed, records are best transferred directly to your nominated medical practice.
If you have already arranged ongoing care with another medical practice, please provide us with their details (if you haven’t already) and we will arrange for your records to be securely transferred.
If you have not yet nominated a new treating medical practice, we can provide you with the encrypted XML file so that you may forward it to your new medical provider once one has been selected. Unfortunately, due to the volume of requests we are managing and the technical limitations of the medical software, we are unable to accommodate individual requests for records to be converted into alternative formats.
We also respectfully ask that our staff be treated with courtesy and respect. Our team is working diligently to process a substantial number of requests whilst ensuring that patient information remains secure and confidential.
Abusive, threatening, harassing or otherwise inappropriate behaviour towards our staff will not be tolerated.
Please ensure all correspondence is sent directly to [email protected] only. Emails to [email protected] will also be actioned. Emails to alternate email addresses may not be acted upon.
We appreciate your patience and understanding as we work through this process and remain committed to ensuring the orderly and secure transition of patient records.
