The virtual assistant role has changed more in the past two years than in the previous decade.
AI is no longer a future concern for remote workers — it's already reshaping what employers expect and what skills get people hired.
We put together a practical guide to the 5 AI tools appearing most in VA, admin, and customer service job listings right now:
01 ChatGPT — your always-available first-draft engine. Stop staring at blank screens. Describe the email you need, get a polished draft in seconds.
02 Notion AI — paste your rough meeting notes, get a clean summary, action list, and follow-up email in under a minute.
03 Otter.ai — joins your Zoom or Teams calls, transcribes everything in real time, and delivers a summary the moment the meeting ends.
04 Zapier AI — describe what you want to automate in plain English. New client booking? It creates the task, updates the sheet, and sends the welcome email — automatically.
05 Canva AI — describe a presentation, get a full deck. No design background needed.
These aren't specialist tools. They are, increasingly, the baseline.

The good news: you don't need a tech background to use any of them. You need to know which problems they solve — and practise using them in real work situations.
That's exactly what the ReSTART project is built around. ReSTART is an EU-supported initiative that aims to help unemployed adults re-enter the labour market by equipping them with practical AI and human-AI collaboration skills — specifically for remote and hybrid roles in administration, customer service, and virtual assistance.
The programme will use problem-based learning (real workplace scenarios, not passive video courses), issue recognised digital micro-credentials, and connects learners directly to industry. If you're returning to work after a gap, changing direction, or simply want to work confidently in the remote economy — ReSTART is where to start.
